Logs
The Log Module stores
information on many different things that happen within PracticeMaker.
The Menu of this module is
shown below. This screen allows anyone using PracticeMaker to check the
log of events that have occurred. By selecting the Database to view on the left, the
list shows all events that were logged related to that database. The
buttons above the list can sort this list by either the Date Ascending, Date Descending or the Function that was logged. This
features comes in extremely handy if you need to know when the last
time you did something, like a Recall
(which comes from the Patients
database), the last monthly statements (from the Billing module).
To view the log in
more detail than available on the screen above, click View
Log. To view the billing audit trail click Audit. Regardless of which one you select,
you need to enter the administrator's password to view the details in
this file. If successfully entered, you are given access to module. If
the password is wrong it is,
you quessed it, logged!
The Log Screen
The log system stores many events that occur inside PracticeMaker.
Below is a sample screen showing some of the actions that are logged.
The actions that are currenty logged can be found in the list below.
Entries that require an "Alert" (bad stuff) are flagged with the
icon pointing to
them (as seen above).
- The software is open
- A user logs in and out (includes Date and Tme)
- The utility screen is accessed successfully or failed
- When a module is successfully updated and the old database
moved to the archive
- When a wrong password is used to gain access the the
Access Privileges page in PhoneBook
- When Recall is created and the time frame it was created
for
- When an Eclaims file is successfully created
- When inventory is changed or attempted to be changed with
the wrong password
- When an invoice is deleted. If there were charges on the
invoice these are logged as a memo
- If an invoice is created but not completed
Finding Records
The log file can get very large,
and you may want to search for an item rather than just scrolling
through thousands of records. To do this click Find to get the dialog below. You
can enter your find requests and then click Continue.
Any records that match your request will be found and presented inthe
same list as above. You can search for records by using one field or ay
combination of fields.
- Date - You can search for a single
date, or for a range of dates (i.e. for 8/1/2004 through 8/14/2004 you
would type in "8/1/2004...8/14/2004)
- Time - To search it is best to use
military time, otherwise you need to add the AM or PM. For example,
11AM to 1PM would be entered as "11:00...13:00".
- Database (such as Billing or ECS Control)
- Function - Inventory, Recall, Eclaims
- Memo
- Delete status
- Alert - There are many logged
records that are "alerts", such as invoice deletions, attempts to
manaully change inventory or change passwords.
- User - You can search by User
Deleting Records
You cannot delete one record at a time. What you do is flag the ones
you want to delete by checking off the Del field for that record. Then
you click on Find and Delete
to get the dialog below.
If you click Proceed you get the next dialog.
Clicking Cancel stops the
process. If you click View you
get to see the records that would have been deleted. Clicking Delete will delete the found
records.
